Booking, Changes and Cancellations

We are Tokyo Vibes ("we," "us," "our," or "the Business"), a sole proprietor registered in Japan at:

We operate the website https://www.tokyovibes.tours/ (the "Site"),  as well as any related products and services that refer to or link to these legal terms (the "Legal Terms") (collectively, the "Services").

Please carefully review these terms, as they govern your relationship with us in connection with our tourism and concierge consultancy services.


1. Booking and Payment

To secure your reservation, full payment is required at the time of booking.

  • Advance Bookings: Tours can be booked in advance. Tours booked less than 48 hours before the tour start time are subject to guide availability.

  • Children (0-11 years): A fixed fee applies depending on the tour duration. Please provide a valid ID before the tour. If the age cannot be verified, the regular adult rate may be charged.

  • Adults (12-99 years): Pricing is based on the standard tour rate and may vary depending on the season, tour length, number of participants, and included activities.

  • Accepted Payment Methods: We accept payments via Stripe, including Visa, Mastercard, American Express, Discover, JCB, Apple Pay, Google Pay, Link.

 2. Cancellation and Refund

Cancellations must be made in writing via email, WhatsApp, or phone and are subject to the following charges:

​

  • 72 hours or more before the tour: ✅ Full refund (100% of the tour cost)

  • 24 to 72 hours before the tour: 🔁 50% refund

  • Less than 24 hours before the tour: ❌ No refund

  • Force Majeure: In the event of a force majeure, natural disaster, or disruption in public or private transportation, a full 100% refund will be issued.

  • Service Cancellation: If the guide falls ill or we are unable to deliver our services, we will issue a full 100% refund.

 3. No Show

​

Guides will wait for a maximum of 15-30 minutes. If you do not arrive within this time frame, it will be considered a no-show, and no refund will be issued.


 4. Changes and Alterations

​

Tokyo Vibes reserves the right to alter the itinerary, attractions, or transportation methods as necessary. If a significant change occurs before the tour begins, we will notify you as soon as possible. We are unable to accommodate any booking changes within 24 hours of the tour start time unless previously agreed upon.

 5. Minimum Participation

​

Our tours are private and personalized. Inviting additional guests without prior consent may lead to tour cancellation or an additional fee.


 6. Travel Insurance
​

We strongly recommend purchasing comprehensive travel insurance to cover unforeseen events, such as trip cancellation, interruptions, medical emergencies, and unexpected material loss.


 7. Responsibility and Liability

​

Tokyo Vibes is not liable for any loss, injury, damage, delay, or inconvenience caused by force majeure, weather conditions, natural disasters, or other events beyond our control.

We are not responsible for any injuries, losses, or damages sustained during the tour, including damage to personal property.

 8. Health and Fitness

​

Participants are responsible for ensuring they are medically and physically fit to participate in the chosen tour. Please notify us of any health conditions that may affect your ability to participate.


 9. Conduct

​

We reserve the right to remove any participant whose conduct is deemed disruptive or incompatible with the safety and well-being of others. We have zero tolerance for behavior that may lead to verbal or physical harm.


 10. Complaints

​

If you experience any issues during your tour, please inform your tour guide or Tokyo Vibes staff immediately so we can address the situation promptly. If you are dissatisfied with our service, please contact us as soon as possible after the tour to allow us to review and resolve the matter.

 11. Governing Law

​

These Terms & Conditions are governed by the laws of Japan, and any disputes will be subject to the exclusive jurisdiction of the Japanese legal authorities.


By booking a service, tour or experience with Tokyo Vibes, you confirm that you have read, understood, and agree to these Terms & Conditions.
